- Account information: Name, email address, password (hashed), pilot certificate number.
- Flight and logbook data: Flight records, aircraft registrations, departure/arrival aerodromes, flight times, and related entries you create.
- Aircraft and syndicate data: Aircraft details (registration, type, hours), syndicate membership, booking records.
- Payment information: Billing name, country, and payment method details (processed securely via our payment provider — we do not store full card numbers).
- Usage data: Pages visited, features used, device type, IP address, browser type, and crash logs for diagnostic purposes.
- Communications: Any messages you send us via email or support channels.
3. How We Use Your Information
We use your information to:
- Provide, operate, and improve the AirRoster service.
- Process payments and manage subscriptions.
- Send transactional emails (account verification, booking confirmations, maintenance alerts).
- Send product updates and marketing communications (you may opt out at any time).
- Comply with our legal obligations under Australian aviation and business law.
- Investigate and prevent fraud, abuse, or security incidents.
4. Data Storage & Security
Your data is stored on servers located in Australia. We use industry-standard encryption (TLS in transit, AES-256 at rest), access controls, and regular security reviews to protect your information.
We will notify you and relevant authorities of any data breach that is likely to result in serious harm, in accordance with the Notifiable Data Breaches scheme under the Privacy Act.
5. Sharing Your Information
We do not sell your personal information. We may share it with:
- Syndicate members: Booking and flight data is visible to other members of your syndicate as intended by the service.
- Service providers: Payment processors, hosting providers, and analytics services who process data on our behalf under data processing agreements.
- Legal authorities: Where required by law, court order, or to protect the rights and safety of our users.

You have the right to:
- Access the personal information we hold about you.
- Request correction of inaccurate or out-of-date information.
- Request deletion of your account and associated data.
